A Monthly Rental Routine for Small Landlords

A simple monthly checklist that keeps rent, tenants and repairs under control — without spending your evenings on paperwork.

Why a routine beats a good memory

Most small landlords manage one to five units next to a day job. The work itself is not hard — it is the remembering that is. Rent due dates, lease renewals, a dripping tap reported three weeks ago: each item is small, but together they slip.

A fixed monthly routine turns those loose tasks into a thirty-minute appointment with yourself. Same day every month, same short list, no surprises.

The thirty-minute checklist

Work through these five steps on the same day each month — for example the first Monday after rent day.

  • Confirm every rent payment arrived, and record the date and amount for each tenant.
  • Send a friendly reminder for anything still unpaid — short, factual, in writing.
  • Check open repair requests and give each one a next step and a date.
  • Look ahead sixty days: lease renewals, safety checks, insurance or tax deadlines.
  • File the month's receipts and invoices in one place, per property.

Keep one record per property

Whatever tool you use, the habit that matters is keeping each property's tenants, payments and repairs in one place. When a tenant asks about a payment from March, or a buyer asks for a rental history, you should answer in minutes — not after an evening of searching email.

Spreadsheets work for a single unit. Once you have several tenants, different due dates or more than one currency, a purpose-built tool starts to save real time.

Let the tool do the remembering

Rentaer is built around exactly this routine. You add your properties and tenants once, set the rent day and a notification day, and the app reminds you before each payment is due. Payments, tenants and repair requests stay attached to the property they belong to.

The Free plan covers one property, so you can run your next monthly routine in Rentaer without paying anything. Paid plans start at $19 per month when you outgrow it — see the details on the pricing page.
